   – Tone: Tailor the tone of your message based on your intention, whether it’s consultative, commanding, or informative.

   – Timing: Schedule your communications based on stakeholder cycles; timing is everything!

   – Test: Establish how you will measure the effectiveness of your message. Feedback is crucial!

   – Teller: Assign responsibility for crafting the communication.

   – Tick: Determine who will sign off on the communication before it goes out. 

Combat Rumors Through Transparency

When information is scarce, rumors thrive. Keep your team informed ahead of significant events to mitigate the spread of misinformation. This proactive approach helps maintain confidence and control.

The Importance of Two-Way Communication

Avoid “me to you” communication. Foster an environment that encourages two-way conversations. This method empowers stakeholders to engage, share concerns, and provide feedback, enhancing project buy-in.

Crafting Compelling Messages

To make your project communications memorable, leverage:

   – Primacy & Recency Effects: Highlight key messages at the beginning and end of communications to enhance retention.

   – Novelty: Introduce fresh ideas or approaches to make your messages stand out.

   – Activity: Engage your audience physically (through meetings) or mentally (with thought-provoking questions) to reinforce learning.

For crucial stakeholders, customize your communication plan. Understand their preferences, influence, and stance towards the project. A tailored approach ensures they receive essential information in a way that resonates with them.
